Privacy Notice

As a professional coach, all coaching is conducted lawfully, within local laws and is GDPR compliant. The coaching relationship is one built on trust and confidence while collecting, processing and protecting any personal data.

 

The privacy policy sets out how personal information is collected and stored and is applicable to all clients of Carolyn Hill as data controller including for the website of http://www.carolynhill.co.uk

 

The privacy notice can be updated at any time.

 

Any personal data will be :

  • Used lawfully, processed fairly and transparently.

  • Collected for valid purpose that is mutually, exchanged and it will not be used for any other purpose than to facilitate coaching requirements.

  • Data will be accurate and stored securely.

 

Personal data is information regarding an individual who can be identified from the data:

The information gathered would be:

  • Personal contact details such as Name, address, tel No and email address.

  • Date of birth, age

  • Personal status, Dependants and ages.

  • General employment, job title, full or part time.

  • Any relevant health issues, medical conditions or disabilities.

 

If clients are referred by a business:

The business name, address and Co Reg registration details and point of contact will be required in their capacity of employment.

 

Data is only collected for legitimate business requirements and retained for a period reasonably necessary. This would be no more than 6 months, unless the client/coach relationship is for a longer period so deemed to be necessary, the maximum period of retention if there was being a dispute would be 7 years from the last coaching interaction thereafter, as after 6 years no legal action can take place.

 

Data will not be shared or disclosed to 3rd parties unless expressly consented or required to do so by law or in public interest (for official purposes). This could include fraud prevention, a legal basis or legal dispute. Any other disclosure would be strictly business purpose to administer the business such as disclose to my accountant.

 

Data storage may be on a mobile telephone, a PC or via a communication channel such as Teams these are all encrypted and password secured.

No guarantee can be given that email communication cannot be intercepted, undelivered, not received or received by another recipient other than the intended party which would be entirely at your own risk.

 

In some circumstances, data may be made anonymous so it cannot be associated with you, but materially be of great benefit to assist others as a coaching tool in which case such information once anonymous may be used without notice to you.

Data changes

It is your responsibility to ensure data is accurate and up to date and to inform of any changes of personal data.

 

The right to be forgotten

At any stage you can ask for personal data to be erased as you have the right to be forgotten unless their was a good or lawful reason for data retention, in which case you would be informed of the refusal and rational. Data access request

At any point you can request access to your personal data, to check it has been lawfully processed or request data correction by providing specific information to confirm your identity, purely to protect your data. No fee will be charged and this can be requested by emailing chill2153@outlook.com

 

Carolyn Hill is responsible for compliance with the privacy policy and any complaint on processing personal data can be made direct or to the Information commissioners office (ICO) who oversee and supervise data breaches.
